Privacy Policy

Effective October 17, 2026. ProdSquad is operated by Skylab Productions, a production and creative services company ("we", "us"). This policy explains what the ProdSquad app and website collect and how it is used.

Who uses ProdSquad

ProdSquad is used by production companies to organize crews for live events. A production company (your "company") invites you and manages the show information you see. Much of the information below is entered by your company's producers and administrators, not by you.

Information we collect

• Account: your name and email address. You sign in with a one-time code sent to your email; we do not use passwords.
• Crew profile: name, nickname, phone number, email, and roles or departments, as entered by you or your company.
• Show information: call times, the run of show, travel, ride and car seat assignments, hotel details, key contacts and links for the shows you're on.
• Messages: messages sent to crew in the app, and who received and read them.
• Notifications: if you turn on alerts, a push subscription (an endpoint address and encryption keys from your device's push service), your device/browser type, and your alert preferences.
• Sign-in and security: one-time sign-in codes (valid for 10 minutes), session records (which include IP address and device/browser type, and last up to 90 days), and rate-limit counters used to prevent abuse.
• Company content: logos uploaded by your company, schedule data producers import (the uploaded file itself is not stored), and a record of changes made by producers and admins (audit log).
• Venue location: the show's venue address, used to show local weather. We do not collect your device's location.
• Technical logs: limited server logs of errors and events, which are designed to exclude email addresses, phone numbers, codes and tokens.

How we use it

Only to run ProdSquad: signing you in, showing you your schedule and assignments, delivering messages, emails and push alerts, showing weather and live show status, keeping the service secure, and providing support.

Who can see your information

Your crew profile and show assignments are visible to your company's producers, administrators and owners. Crew on the same show may see information shared for that show, such as the schedule, ride assignments and key contacts. Your company's data is not shared with other companies using ProdSquad.

Service providers

We use a small number of providers to operate the app. Each receives only what it needs:

• Cloudflare hosts the app and stores its data.
• Resend sends sign-in codes and email notifications (your email address and the message).
• Push services run by Apple, Google, Mozilla or your browser maker deliver push alerts to your device.
• Open-Meteo (weather) and Photon by Komoot (address lookup) receive the venue address or its coordinates, never information about you.
• Stagetimer and other show-control tools your company connects provide live show status to the app.

What we don't do

• We do not sell or rent your information.
• No advertising, and no third-party analytics or tracking.
• We do not track you across other apps or websites.

Retention and deletion

We keep information while your company uses ProdSquad for its shows. Sign-in codes expire after 10 minutes, sessions after 90 days, and unused import drafts are deleted automatically. Push subscriptions that stop working are removed. Your company can remove you from its team, and removing a company deletes its data. To delete your account or request a copy of your information, email [email protected]. We may need to confirm the request with your company.

Security

Data is sent over encrypted connections (HTTPS), and access is limited by role. No system is perfectly secure, but we work to protect your information.

Children

ProdSquad is meant for working production crews and is not intended for children under 13. We do not knowingly collect information from children.

Changes

We may update this policy and will post changes on this page with a new effective date.
